E-Mail

Can we continue to use our own address books?

Yes, you will have the opportunity to use personalized address books.

Will our address books be migrated?

Yes, personal address books will be moved as part of your migration.

 

Can I import personal contacts to Office 365?

Yes,  export your contacts from your desktop Outlook client as CSV, then in Office365, go to People, then Your Contacts, Import Contacts.

Will the filters I have set up within my E-Mail be migrated to Office 365?

If you use rules/filters to manage your email by automatically moving messages to folders, please make a note of them prior to your migration. Our tests have shown that rules/filters and alerts move as part of the migration. However, if you run into a problem at migration then you may need/want to re-create similar rules after your account is moved to Office 365. For instructions, see this article.

 

Will the WebEx plug-in work in Office 365’s version of Outlook?

Yes, WebEx is compatible with Outlook ProPlus 2016. The plug-in will work upon migration.

 

What are the limitations with Exchange Online?

Exchange Online limits for a variety of service areas, including address book, mailbox storage, and reporting and message trace. For more information see here.

 

Can I continue to use my other email client (Apple Mail,Thunderbird, Mutt, Pine, etc.)?

Yes, you will still be able to use any IMAP client. For settings and instructions please access this link.

 

I forward my email from Xmail to Google. Will my forwarding relationship move as part of the Office 365 migration?

For those that forward email from Xmail to another email service, such as Google; your forwarding relationship will be transferred after the migration of your mailbox to Office 365. You may need to check your Office 365 mailbox and manually forward any mail received during the outage window of the migration.

General

What version of Office do I need?

Exchange Online is designed to work with the latest versions of Office: Office 2016, Office 2013, and Office 2011 for Mac.

 

What browsers are supported?

 

Office 365 is designed to work with the current or immediately previous versions of modern Web Browsers: Internet Explorer, Edge, Safari, Chrome, and Firefox. If you use Internet Explorer, it is recommended that you upgrade to the latest version of Internet Explorer.

 

If you already have a personal subscription to Office365, will this cause problems using the version provided by the University?

 

In Office 365, you will have the option at the log in screen to log into either account. However, it is recommended that you do not use your cnetid@uchicago.edu credential with your personal subscription. If you need to change the credential on your personal account please see here.

 

Can you integrate Office365 with Box?

 

You should be able to do so, follow Box documentation. For additional information: see here

 

Can you customize the ribbons within Office 365?

 

Yes, you can customize ribbons. You would go to Options > Customize Ribbon within each application of Office ProPlus. You cannot customize the ribbons in Office Online.

What is Office ProPlus?

 

Office ProPlus is the suite of Microsoft Office products (Excel, Word, PowerPoint, Outlook) that are installed on your desktop or laptop and are kept up to date with features to match Office Online. For additional information see here. Office ProPlus allows you to use Office on up to five devices.

 

Do I need to have internet connectivity to use Office Online and Office ProPlus?

 

You will need Internet connectivity to use Office Online. Office ProPlus, since it is installed on your computer does not need the internet. However, you will need to sync your machine to the internet every thirty days to make sure you are still licensed. If this does not occur you will experience reduced functionality (view and print only) in the product. For additional information see here.

 

Can you hide Office 365 tiles?

 

There is not a reliable method for an end user to hide tiles.  You can explicitly add items to the app launcher, but that is only for certain tiles; some show up no matter what you do.

OneDrive

Can OneDrive act as a MS Project Viewer?

 

No, OneDrive will not allow you to view MPP files natively.

 

Is there guidance around the use of OneDrive vs. Box?

 

We recommend the you use OneDrive for your personal files. Continue to use Box, Tank etc. to share files within groups.

 

I am in the BSD, should I store PHI or HIPAA data in OneDrive?

 

As a reminder, OneDrive is best used for personal storage and must not contain any PHI or HIPAA data. For BSD guidance on the appropriate use of Box to store PHI or HIPAA data,please access this link.

Can you customize the views within OneDrive for Business?

 

Yes, you can customize views within OneDrive for Business. For more details, refer to this Microsoft article.

 

What is the maximum number of document versions in OneDrive?

 

You can sync up to 20,000 items in a OneDrive for Business library. This includes folders and files. For additional information on OneDrive limits, access this article.

 

Other Office Applications

Are you able to use ODBC connections in Excel?

 

Yes, in Excel for Office ProPlus or Office 2016. You will not be able to use ODBC connections in Excel Online.

 

Are Visio and Microsoft Project included applications once we are migrated to Office 365?

 

No, Vision and Project are not included in Office 365. Both of these products are available with a separate license which needs to be purchased. Please contact Site Licensing should you need assistance should you have further questions.

 

 

Migration

Which Divisions/Home Units are being migrated to Office 365?

 

All mailboxes currently on the ITS-hosted Exchange are being migrated. This migration will involve a majority of organizations across campus. If you would like additional information please contact us.

 

Is there a way for me to be migrated before my department?

 

The project discourages people from moving to Office 365 before their department. If you are moved before your department you will lose access to shared calendars, shared meeting rooms and other shared resources until the rest of your department is migrated.

 

I’m new to the University and my department is on Office 365, how do I get migrated?

 

If you are new to the University, you were provisioned in Xmail. To move to Office 365 you or IT support within your unit will need to request your migration to Office 365. This request will be routed to IT Services through this link and click on General Request.

 

What applications are included in the migration to Office 365?

 

Faculty and staff will have access to Office ProPlus, Office Online, OneDrive for Business and Exchange Online during the initial implementation of Office 365. Students will have access to Office ProPlus, Office Online and OneDrive for Business. Additional Microsoft applications such as SharePoint, Project, Yammer etc. are under consideration for the future.

System Requirements

What are the minimum system requirements?

 

Office 365 and Office 2016 are designed to work with the latest version of Office and Office 2013. Previous versions of Office, such as Office 2010 and Office 2007, and Office 2011 for Mac may work with Office 365 with reduced functionality. What version of Office do I need?

 

Office 365 is designed to work with latest version of Office: Office 2016, and will also work with Office 2013 for Windows and Office 2016 for Mac.

How do I download Office to my computer?

Go to https://portal.office.com/ and login with your username in the form of: CNetID@uchicago.edu and corresponding password.  Once you login, you should see a large button on the top right that says “Install Office apps”.  Click that to install.

  • Medical Center users will not be able to download Office from the University’s Office 365 portal. Please contact the Medical Center Service desk at help@bsd.uchicago.edu for assistance.
  • Booth users – you must login with your CNetID@uchicago.edu not your Booth email address.
